Can I move a business and its accounts to a new space in QBP?

Here's the situation…

I upgraded to QBP and added a business (a small nonprofit corporation… call it MyNonprofit).

Then I started reading about Spaces and began thinking that if MyNonprofit was in its own Space (and not visible in my personal Space) it would be more separate from my personal finances.

Also, I might be able to share the MyNonprofit Space — and that Space only — with the president of MyNonprofit (I am the treasurer). I don't want to share my personal finances.

I would like to find out:

(1) Is it possible to move the MyNonprofit business and/or its accounts to the new MyNonprofit Space so that it only exists there? If so, how do I do that? If not, do I have to delete the business and its accounts and start over? (I could do that… it's a new venture.)

(2) Would I be able to share only the MyNonprofit Space with the president? (The president has her own subscription to QS, but not QBP.)

I may be looking in the wrong place, but I haven't found much in the way of documentation about how the Spaces system works in practice. I can see how to create and share Spaces, but can't find much on how they work or how to use them. Any help would be appreciated.

I think one problem you might run into is with permissions: As i have heard so far (and i am unaware if this has changed) there are no 'permisssions adjustments' available for spaces, so if you gave someone access to a shared space they would have the ability to view and edit that shared dataset.

Now, Assuming you have 3 separate subscriptions, one for your president, one for the organization, and one for you — you may be able to both separately share (I'm not certain) the organization space without sharing each other's space. However, realistically, I think whoever could sign into the organization space, might then have access to both of your 'private' spaces.

I have never used this feature, this is just based on what i've read, maybe someone with experience could prove me wrong.

I'm not too worried about the permissions issue, as the president needs full access to the accounts (as she has in the real world).

We don't have 3 separate subscriptions. I upgraded to QBP (which I pay for) so that I could handle "MyNonprofit" under my own subscription. The president also pays for her own QS subscription, as it is for personal use. We don't want a 3rd subscription for MyNonprofit because the corporation would have to pay for it, diverting funds from its real purpose.

There doesn't seem to be much info on exactly how this Spaces thing works. I hope someone who has experimented with it can help me with my two questions. Or maybe one of the coaches.

    Hello @DryHeat,

Thanks for reaching out! With Quicken Business & Personal, you can use our Spaces feature to create up to three separate areas to organize and manage your finances. In one of those new spaces, you would be able to set up your Nonprofit Business and manage it from there if you choose. This would include inviting someone to the space as well.

More information can be found in our support article here: https://support.simplifi.quicken.com/en/articles/10362268-managing-your-spaces

    I hope this helps!

    @Coach Jon

Thanks, you have answered my question about sharing only a particular space.

But my other question was about moving a business that already exists in my default Space in QS to a newly created Space.

    (1) Is it possible to move the MyNonprofit business and/or its accounts [which already exist in my default Space] to the new MyNonprofit Space so that it only exists there? If so, how do I do that? If not, do I have to delete the business and its accounts and start over?

The article you linked doesn't touch on that. If you have any information about it I would appreciate it.

    Hello @DryHeat,

I don't believe you will be able to move an already existing business in one space to another. At least, I cannot from my side. I wish I had a better answer for your question.

@Coach Jon Ok, thanks. The business accounts have few transactions, so I can probably delete them and recreate them in the other Space.

MOVING A BUSINESS TO A NEW SPACE — HOW IT WORKED

I couldn't delete the old business (named MyNonprofit**), so instead I:

    • deleted all the MyNonprofit business accounts
    • renamed the old business MyNonprofit-OLD (this is key!)
    • created a new Space named MyNonprofit
    • went through the setup process in the MyNonprofit Space
    • added connected and manual accounts in the MyNonprofit Space using business name MyNonprofit
    • did not add any Personal accounts in the MyNonprofit Space

The result in my original Space was satisfactory:

    • my original Space now has only Personal accounts
    • there are no headers in the Accounts list for Business or Personal
    • if I edit an account the Account Purpose dropdown still shows a choice between Personal and MyNonprofit-OLD
    • both Personal and Business categories are available

The result in the new Space (named MyNonprofit) was also good:

    • the new MyNonprofit Space has only Business accounts
    • like the original Space, there are no headers in the Accounts list for Business or Personal
    • if I edit an account the Account Purpose dropdown shows a choice between Personal and MyNonprofit
    • both Personal and Business categories are available

So far, it appears that the undeletable business in the original Space still exists, but doesn't really do anything. It does show up in the Usage and Account Purpose dropdowns — which is regrettable but not a show-stopper.

It takes a few seconds to switch back and forth between Spaces, but that is not a problem as I am seldom working on both at the same time. The payoff is that there is a more definite separation between Personal and MyNonprofit and the separate list of Accounts is more manageable in each.

I still think we need to be able to delete Spaces, Businesses, and Clients — but at least there is a workaround.

[**Business name changed to protect the innocent]
